Identify what happens outside the system
List the tasks your team handles in spreadsheets, messages or files because the main tool does not cover them. Record who performs each task, which information they need and where the result goes. This map helps distinguish a software limitation from an undefined process.
Review three possible approaches
Configuring an existing tool may be enough when the process fits its options. An integration may resolve duplicate entry between systems. Custom development makes sense when a specific workflow, internal tool or digital product is not adequately served by existing alternatives.
- Configuration: use available capabilities.
- Integration: connect information and actions between tools.
- Custom development: build a defined workflow for your operations.
Consider users and exceptions
Describe what each person needs to do and what happens when a case differs from the usual pattern. A list of screens does not replace this definition. Review dependencies on other tools, data availability and how you will check that the system supports the team.
Define a useful first version
Choose a journey that can be completed from beginning to end. Specify its inputs, actions and expected output. Consider extensions after testing how it works. A first version needs to solve a real task and have clear acceptance criteria.
Questions before deciding
Which task is poorly served today? Which alternatives have we evaluated? Which systems must connect? Who will use the solution? Who decides when an exception occurs? If these answers are unclear, a process diagnosis is the next step.
Common questions
Can a small business need custom software?
Yes, when it has a specific process that available tools do not adequately support. Company size alone does not determine the decision.
Should we start with every department?
Define a first version around a specific journey and evaluate how it works before expanding scope.
How can we compare alternatives?
Use the same workflow, users, exceptions and integrations to evaluate every option. Include how the solution will be operated and maintained.
