Which processes deserve attention
Opportunities often appear when the same case moves between messages, spreadsheets, email and internal systems. Copying information, looking up task status and remembering follow ups can take up a large part of the day. An initial review identifies what repeats and where mistakes occur.
- Capturing and updating information.
- Following up on leads and conversations.
- Reading documents and generating reports.
- Approvals, alerts and back office tasks.
How we choose the first workflow
We look at task frequency, manual effort and the consequences of delays or mistakes. We also review information sources, exceptions and who checks the result. A clearly defined process allows its operation to be verified before the automation expands.
Connecting the tools you already use
Integrations can connect APIs, CRM, ERP, databases and internal tools. Feasibility depends on the access and capabilities of each system. We define which information should move and what should happen when data is missing, duplicated or inconsistent.
Implementation and measurement
Our work starts with diagnosis and design. We then build in stages, test with real cases and document the system. We review time, errors and adoption to decide the next step. The workflow must be useful to the people who operate it.
From email inquiries to team follow up
We implemented a workflow that acknowledges an inquiry, classifies emails and routes them to five Slack channels. The team sees the subject, a summary and the priority. Staff can open the original email to reply and mark the inquiry as handled.
Two workflows we have worked on
- Delma Group: contacts and conversations: Sales contacts → capture, enrichment and qualification → conversations and campaigns with an embeddable chatbot in one system.
- Effect Doctors London: files and reports: PDF and CSV files → structured biomarker extraction → clinical reports in PDF format.
Common questions
Does every automation need AI?
No. The solution depends on the task. AI can help with reading or interpretation, while other actions can use integrations and defined rules.
Can exceptions be handled?
Yes. We review which situations need human attention and which actions should remain under human control.
What should I bring to the call?
An example of the task, the tools you use and how your team handles cases outside the usual workflow.
